Copying

There are copiers on floors 4, 5 and 6, which can produce paper photocopies or PDF files. Add printing credit to your Library card online or at the 4th floor Service Desk. Please note, unused credit is non-refundable.

Charges

When copying, please make sure you comply with UK copyright law. Unless you have the permission of the copyright owner or the item is not subject to copyright, it is advisable to ensure you do not:

• Copy more than around 5% of a book, journal or other item.
• Distribute copies – either physically or electronically.
• Use copies for any purpose other than non-commercial research or private study, criticism, review or reporting current events.

To avoid damaging library materials, please observe the following when copying or scanning:

• Avoid applying pressure; press down gently on the covers rather than the spine.
• Do not copy items that are more than 100 years old.
• Do not copy items that are larger than A3, or too heavy to handle comfortably.
• Do not copy items that are fragile, tightly bound or damaged.

You can order copies of material unsuitable for self-service photocopying through our Document Supply service.

Printing

You can print from laptops and desktop machines using our PaperCut service.

In order to save paper, you may prefer to save e-journal articles to a USB or send to yourself via email, rather than printing them out.

Charges

Sending a document or web page to print

• Visit the page.
• Logon with your username and password. Your username is the same as your membership number. Your password is the last 6 digits of the card number, as displayed on the reverse of the card near the top.
• To use Driver Print you will need to download and install the printer driver

Collecting printing

• Documents will remain in the print queue for 48 hours.
• Documents can be released at any of the machines, located in the 4th floor Service Hall, on the 5th floor next to the Tower Lift and on the 6th floor outside the accessibility suite by the customer lift.
• You will need to use your Library card in order to release print jobs. Follow the instructions next to the machines.
• Please note, machines are switched off 15 minutes before the Library closes.

Looking for something else? We provide paper and low resolution copies via our Document Supply service and high resolution digital copies from our Digitisation Studio.

We can supply copies of most items in our Collections through our Document Supply service. You do not need to be a member of the Library or visit in person to order a reproduction.

Reproductions can be supplied either as photocopies in PDF, or JPEG/TIFF image files at resolutions of up to 600dpi. Photocopies and Images can also be supplied on paper, in colour or black and white.

The Digitisation Studio offers a bespoke service for digitising fragile, rare, or archival material. 

• If an item is in copyright, reproductions are supplied only for non-commercial research or private study.
• If the item is a published copyright work (e.g. a book or journal), the amount that can be copied is limited to around 5% of the item.
• Copyright artistic works (e.g. maps, photographs, diagrams) may only be supplied alongside other works – e.g. they may be reproduced as part of a book chapter or journal article, but not by themselves.
• Reproductions supplied by the Library may not be publicly disseminated – e.g. published, exhibited, displayed on websites or broadcast – without the Library’s prior, written permission. You can apply for permission the using online order form below, either when you order the reproduction or at a later date.

Postage charges are payable on all orders delivered by post. 

Digital Reproductions can be saved to CD for an additional charge of £1.00 per CD.

A service charge of Â£2.60  per item reproduced is added for orders placed outside the Library.

Copies supplied to EU customers are subject to VAT @ 20%.

• If you are ordering a reproduction of material you are consulting in the Library, complete an order form in the Special Collections Reading Room.
• Otherwise, complete our online order form. You can also use this online form to apply for permission to use reproductions we have already supplied.
• Once we receive your order, we will contact you to confirm whether we can supply your Reproduction, usually within a few days.
• If we can supply your Reproduction, we will send you a Payment Summary confirming the amount payable; you can then make a secure online credit or debit card payment via the University’s website.

• Once we have received payment we will usually supply your Reproduction within a few days – although larger orders may take longer
• PDF Photocopies and JPEG/TIFF image files are normally supplied via web download: we will email you a link so you can download the files. They can be saved to a CD instead if you prefer.
• Paper Photocopies (and CDs) can be collected from the Library, or shipped by first class post (within the UK only), Airmail or Parcel Force.

After you have placed an order for examination papers, we will send you a payment summary with the amount due. Once paid, copies will normally be shipped within a few days. 

Our current charge is £2 per subject per year. 

You may need to pay a licensing fee for a Reproduction if the Library owns the copyright for the original work and you wish to publish our image; for example, in a publication, website, exhibition or broadcast. You will be notified if there is a licensing fee after we receive your request. 

If the original material is not out of copyright, you will also need the permission of the relevant copyright owner(s). The Library cannot grant permission on behalf of a third part.

When reproducing images from the Senate House Library, you should credit us by using ‘Senate House Library, àËÅöÊÓƵ’. The credit should also include the library shelf mark or manuscript number of the original work.

How to apply

• You can apply for a Licence using the Reproductions Order Form
• Once we receive your application, we will send you a Licence for you to sign and return to us, and a Payment Summary so you can pay the relevant fee online with a credit or debit card
• If we have not already supplied the Reproduction, you can order it at the same time as the Licence using the Reproductions Order Form, and we will send you a Payment Summary for the total amount to include the cost of the Reproduction and the applicable Licence fee
• Once you have signed the Licence and made payment, we will send you a confirmed Licence authorising use of the material
• We reserve the right to request, as a condition of the Licence, a copy of the physical item containing the material once it becomes available
